Become an Outlook power user. Leverage advanced automation, master complex calendar orchestration, integrate seamlessly with the Microsoft ecosystem, and implement robust security protocols for ultimate productivity and data protection.

Target Audience:

Executives, administrative assistants, project managers, IT professionals, and any power user who manages multiple priorities, requires deep automation, and needs to enforce strict security and organization.

Upon completion, students will be able to:

  • Design and implement sophisticated automation rules and Quick Steps for complex email management.
  • Delegate calendar access and manage scheduling for others with detailed permissions.
  • Implement a strategic mailbox cleanup and archiving plan to maintain performance and compliance.
  • Integrate Outlook with Teams, OneNote, and Power Automate for seamless workflow.
  • Utilize advanced sharing and collaboration features for calendars and mailboxes.
  • Configure advanced security settings to protect against phishing and manage data privacy.

Outline

Module 1: Automating Tasks with Rules and Quick Steps

  • Advanced Rule Logic: Creating server-side rules with “AND/OR” conditions and exceptions for precise filtering.
  • Custom Quick Steps: Designing multi-action Quick Steps to file, categorize, flag, and forward emails in one click.
  • Rule Management and Troubleshooting: Organizing rule order for correct execution and debugging rules that fail.

Module 2: Advanced Calendar Management

  • Calendar Delegation: Granting and managing delegate permissions (Editor, Author, Reviewer) to manage another user’s calendar.
  • Scheduling on Behalf Of: Sending meeting invitations and responses as another person (requires delegate permissions).
  • Managing Room & Equipment Resources: Scheduling and managing shared resources like conference rooms and projectors.

Module 3: Mailbox Cleanup and Archiving

  • Manual and Auto-Archive: Configuring Auto-archive settings for folders and manually arching old items to PST files.
  • Mailbox Cleanup Tools: Using tools like “Empty Deleted Items” on exit and “Cleanup Tools” to manage space.
  • OST/ PST Management: Understanding the difference between offline (OST) and archive (PST) data files and managing their size and location.

Module 4: Integration with Other Microsoft Apps

  • Outlook and Microsoft Teams: Scheduling Teams meetings from Outlook and managing RSVPs. Accessing Outlook contacts in Teams.
  • Outlook and OneNote: Linking emails, meetings, and contacts to OneNote pages for integrated note-taking and project management.
  • Introduction to Power Automate: Creating simple flows to automate actions between Outlook and other apps (e.g., saving email attachments to OneDrive).

Module 5: Collaboration Tools and Sharing Features

  • Advanced Calendar Sharing: Publishing calendars online, sharing via email with detailed permission levels (Free/Busy, Details, Editor).
  • Shared Mailboxes: Using and managing shared mailboxes for team email addresses (e.g., info@company.com) without a separate login.
  • Delegate Access vs. Sharing: Understanding the difference between granting delegate access and simply sharing a folder.

Module 6: Advanced Security Features and Privacy Settings

  • Phishing and Junk Mail Protection: Configuring the Junk Email filter, managing blocked senders, and identifying sophisticated phishing attempts.
  • Encryption and Permissions: Using IRM (Information Rights Management) to send encrypted emails and prevent forwarding, copying, or printing.
